DMS Integrated Document Distribution & Transmittal Management

Companies often have a requirement to generate formal document transmittals, which is a time consuming task and prone to human errors leading to costly document mix-ups.

Aprotec DMS takes all the hard work out of the distribution and transmittal process by almost completely automating the task. Transmittals are generated from templates taking all the relevant data directly from the document records and a recipient database. As part of the transmittal generation process, documents can be automatically converted to PDF format for transmission.

A simple wizard guides the user through the transmittal generation process, dramatically reducing the time taken and eliminating errors often so inherent with the manual process.

Automated Emails or QR codes on the transmittal sheet link directly via the internet to the DMS allowing the recipient to acknowledge receipt. With a simple tap of a button, the acknowledgement information in DMS is automatically updated, and the issuer notified.

The DMS Document submission features then come into play.  Driven automatically by the DMS Worflow, users are tasked to record the status of documents as they go in and out of the business, who they are with, for what reason, when they are expected back and any comments to be actioned.  With all this data stored in DMS, users can now  instantly track the status of any docuement, produce reports and more efficiently manage projects.
