Enhancement utilises industry proven client server database technology from Microsoft, providing unrivalled levels of performance with large database together with robustness and complete reliability.

 

The products is supplied, as standard, utilising Microsoft's SQL Server Express technology which is upgradeable to the Enterprise version using full SQL Server 2005 onwards. 

User Interface

Using the latest Microsoft .net development tools, Enhancement 2007 boasts a completely current state of the art user interface. With the emphasis on ease of use and flexibility, users will find an environment which is immediately familiar and which complements other main stream Windows applications. For users with modest needs wishing to find and view documents quickly and effortlessly, Enhancement 2007 offers a web browser interface which can be deployed both for local network users and also for users who are remote from the office.

Document Security

Employees of a business need to know that they can 100% rely on the accuracy of information that is available to them, allowing them to carry out their roles effectively and efficiently. Enhancement 2007 provides a secure environment, where all users can enjoy document and data access levels which uniquely match there needs. From the moment a document is created the security system defines, who within the organisation can view it or have the power to edit it. Based on past experience AproTec does not recommend any document management system which relies upon a “vault” approach, where documents and data are encrypted. Instead AproTec has developed a unique Security Mask mechanism which links together with the user network permissions to provide a highly flexible yet totally secure environment which avoids the perils of document and data vaulting.

Searching for Documents

 

Enhancement 2007 offers powerful searching tools, whether it is a simple one off search or a more detailed which may be saved and used on a regular basis. The Quick Search feature allows the user to enter a Key Word which will then display any document which features that word within it’s database record. This can often be the quickest and most effective way of finding that crucial document.

Document Creation

Just as important as finding documents is the ability to control the way that documents are first created. Enhancement provides a document creation wizard which guides the user through the important stages of creating a new document, i.e. :-

  • Input of important data card field entries

  • Allocation of a unique Document Number

  • Specifying an appropriate document storage location

  • Applying the appropriate document security

  • Applying the appropriate revision scheme

Document Revisions and Electronic Sign Off

Not all documents undergo a revision process but many do, ranging from customer proposals to engineering drawings. It is vital to keep control of the document life cycle and ensure that everyone, both inside and outside of the organisation, is working to the same revision. Enhancement provides strict control of the revision cycle with specific revision schemes applied to documents. When a document is approved for issue it is locked by the system preventing any further modification. This process will also electronically “sign off” the document, which, depending on the security settings may make that document instantly visible to other uses. This electronic sign off can drastically shorten project lead times by making approved documents available instantly to their intended readers and by reducing the amount of hard copies being printed and issued manually.

Integrated Document Transmittal Management

How much time is spent in your organisation, grouping, printing and creating document transmittals to send to other departments or partner companies?

Enhancement takes all the hard work out of the transmittal process by automating the task. Transmittal are automatically generated from templates taking all the relevant data directly from the document records.

A simple wizard guides the user through the Transmittal generation process, dramatically reducing the time taken and eliminating errors often so inherent in normal manual processes.



Email Management

For most business, Email has replaced traditional forms of correspondence; letters and faxes to suppliers and customers, internal memos, quotations, meeting minutes etc. Unfortunately in most cases the tradition document management methods used to maintain and control these types of documents have been lost. Businesses now find that valuable and often vitally important communication are unmanaged and uncontrolled and extremely vulnerable within user’s Email folders.

Enhancement offers an Email management facility which simplifies the import and management of important Emails. As with any document an Email may be quickly imported, allocated a unique document number and stored securely on the network server for future reference by relevant users.

Application Integration

Enhancement is designed to integrate seamlessly with other windows applications, enabling the user to launch effortlessly into which ever application is required to edit, view or print a selected document. Using a sophisticated application driver system, each computer on a network may be uniquely configured and centrally administered to drive the application software installed and licensed for that machine. Drivers are easily configured to automatically update documents internally, such as updating header and footer information within Microsoft Word documents.

With direct integration using RealDWGtm from Autodesk, Enhancement s able to completely control the title block within an AutoCAD drawing. This ensures that the information contained within the drawing such as Drawing Number, Revision, and Author etc is always in step with the database. All versions of AutoCAD and AutoCAD LT are supported up to and including release 2008.

Other applications which maintain file relationship such as Inventor, Solidworks and AutoCAD Electrical can be managed effectively with Enhancement. Full revision control of these documents can be maintained without compromising the integrity of the file relationships.

Reporting

Enhancement features extensive and highly configurable reporting, thus allowing you to create reports for any purpose. Utilizing MS Word, customized report templates are easy to setup and use within the system.


Microsoft Office Integration

Enhancement allows you to manage and leverage the capability of Microsoft Office to provide a robust solution managing general everyday office documents.

Microsoft Office documents need management like any other electronic document format and Enhancement  provides the facility to manage the new Office 2007 XML formats .




Enhancement is capable of updating document title blocks in both MS Word and MS Excel


AproTec Explorer

For users requiring basic find and print facilities, Enhancement has a Web Browser Interface, which can be deployed for use right across the business network. Working right inside MS Internet Explorer the interface is immediately familiar and easy to use requiring little or no user training.

Businesses can now electronically issue documents out to those that need them fast without the need for printed paper, but always under the full control of the Document Management System.
